How To Use Call Forward On The Mitel 4025 Phone

With the Call Forward feature on the Mitel Superset 4025 phone, you are able to redirect your incoming calls to an alternate number. You have the option to forward external calls only, internal calls only, or both. For both, you must program each separately.

When it comes to call forwarding, there are different options:

  • Always Forward?” redirects all incoming calls regardless of the state of your telephone.
  • When No Answer?” redirects calls after several rings if you do not answer.
  • When Set’s Busy?” redirects calls when your telephone is busy.
  • Busy/No Answer?“redirects calls when your telephone is busy or when you don’t answer.

Call Forward
To program Call Forward, begin by pressing the SUPERKEY button. Next, press the NO softkey until “Call Forwarding?” appears on the screen. Then, press the YES softkey.

To program external forwarding, press the CHANGE softkey.
To program internal forwarding, press the NO softkey, then the CHANGE softkey.

Now, press the PROGRAM softkey and then press the NO softkey until the type of Call Forward you would like appears. Press the YES softkey, and then dial the destination number. After entering the number, press the SAVE softkey.

Once Call Forward is programmed, you may turn the feature on or off by repeating these steps, and then pressing either the TurnON softkey or TurnOFF softkey accordingly.

Call Forward – Remote
Call Forward – Remote forwards calls from a remote station to your current station.

To set Call Forward – Remote, begin by pressing the SUPERKEY button. Next, press the NO softkey until “Call Forwarding?” appears. • If “External Calls?” does not appear, simply press the DEL softkey.

Call Forward – Toggle
The Call Forward – Toggle feature is useful if you want call forwarding in effect for Busy and No Answer conditions most of the time, but occasionally need to override it with Call Forward Always. For example, when you are using a second phone, instead of changing the Call Forward programming on your main phone to turn Call Forward Always on and off, you can program a key to do it.

To toggle Call Forward, press the programmed feature key: Forward Always, Forward Busy, Forward No Ans, or Forward Busy/NA. You may also program a Forward All key to enable and disable all call forward types that have a destination programmed.

To program a personal key, press the SUPERKEY button, and then press the NO softkey until “Personal Keys?” appears. Press the YES softkey and then press a personal key that isn’t a line key. Press the CHANGE softkey and then press the NO softkey until your desired feature appears. Press the YES softkey and then press the SUPERKEY button.

Don’t Believe These VoIP Myths

Are you hesitant to make the switch to a VoIP phone system? Have you heard poor reviews and complaints about VoIP services? Below are some common misconceptions about VoIP and the truth about employing a VoIP system within your business office.

Myth: VoIP Is Expensive And Complicated
In reality, VoIP services are usually offered at a low monthly rate. This is often the reason why users make the switch. Also, hosted VoIP systems are maintained offsite, eliminating the need to have IT staff on site, with equipment and maintenance provided by the service provider.

Myth: VoIP Delivers Poor Quality And Inconsistent Performance
As long as your VoIP system is installed properly and you employ the appropriate equipment to support your needs, VoIP can deliver high quality calls. Be sure you have enough bandwidth and sufficient network speed, along with compatible phones, headsets and microphones to make the most of your VoIP calling experience.

Myth: Can’t Keep Old Number With VoIP
Depending on your provider, you might be able to keep your old number. For most cases, you should be able to keep your existing PSTN phone number, but you should consult with your service provider before you switch.

Myth: When The Power Goes Out, So Does VoIP
So long as you have a reliable Backup Power Supply (UPS) connected to all the necessary equipment, your VoIP network will remain intact and running during a power outage. However, if your Internet service provider experiences a power outage, your VoIP network could possibly go down. With that being said, in case of emergency, you may want to consider keeping  your landline service.

Myth: VoIP Is Not Secure
Because your VoIP system is essentially connected to your network, it is possible for your system to be exposed to malicious IP activities. However, much like you protect your PCs, it is recommended that you use Session Border Controllers (SBCs) and firewalls. These security measures will help control and screen your network data, prevent VoIP traffic overload, and safeguard against suspicious activities. With the appropriate security measures in place, you can secure your VoIP system.

How To Adjust The Volume On The Toshiba 5022 Phone

Hard of hearing or not, the appropriate volume on your phone will help to improve your calling experience. Follow these steps to adjust the volume of the handset, speakerphone, and ringtone on the Toshiba 5022 phone.

First, locate the volume buttons on your Toshiba phone. You should find them toward the bottom of your phone between the handset and the numeric keypad.

While you are on a call, you may adjust the handset volume by pressing the Volume Up button or the Volume Down button to increase or decrease the volume respectively. Please note that this is only a temporary adjustment – when you hang up, the volume returns to the default setting.

To adjust the speaker volume for internal and external calls as well as background music, start by pressing the Speaker (SPKR) button, located just above the volume keys. Next, press an extension button and you should hear a dial tone. Use the volume buttons to increase or decrease the volume level accordingly. Please note that this volume setting will be applied to all calls until it is changed.

To adjust the Ringtone, Handsfree Answerback, and Speaker Off-hook Call Announce, you must first make sure that the phone is idle and the handset is on-hook. Then you may use the volume buttons to increase or decrease the volume level. This will adjust the volume for all of these features simultaneously.

To adjust the handset beep tone, take the handset off-hook and dial the Beep Tone Adjustment Code #6101. You will hear a busy tone and then you may use the volume buttons to adjust the volume until you reach your desired volume level.

Maintain Your Business Phone System

Keeping your business phone system up and running is crucial to business success. Problems with your phone system can lead to missed opportunities, lost sales, and frustrated customers. To avoid any major down time, take these steps to proactively maintain your business phone system and eliminate any issues that arise.

Assess
Look at your entire system overall – what are the specific goals and standards you want your system to meet? Figure out the purpose your business phone system serves and how it plays a role in achieving your business goals.

Identify
Take a short inventory of all the devices in your system. Know how old they are, what purpose they serve, and any known issues up to this point. Are the older devices at risk for failing? Do they need software updates or does equipment need to be replaced? Have there been issues within the last 6 months, and are they showing a pattern? Once you have assessed and identified concerns within your system, you can proceed to the next step.

Prioritize
Based on your findings, figure out which issues should be addressed first. Which issues impact customer service, sales, or productivity? How would the resolution of these problems improve business? Start with the problems which make the most impact and work your way down to the minor issues.

Evaluate
Now that you have your issues in order, how can you address and solve them? What resources are available to remedy the situation? Can updated cabling or new equipment aid in solving the problems? If you have come up with more than one solution, you then have a decision to make.

Decide
Determine your total cost of ownership for your existing system and other new solutions you’re considering, and then compare this to your potential gains in productivity, customer service, sales, or other measurements. Make a decision about which solution would be the best for your business in terms of cost, convenience, and benefits.

Implement
Once you make your decision, plan an implementation project. Include the planning phase, resource allocations, procurement, migration, testing, and other necessary steps. Get upper management involved in the process to ensure that implementation and resources are available and approved.

Consider A Partnership
If you would rather someone else handle these tasks rather than using internal resources, you may want to consider partnering with a telecommunications systems provider. In the case of a partnership, the provider would deal with the issues and resolve any problems with your system. Should you decide to go this route, a service level agreement (SLA) should be in place to ensure that your partner responds to any issues and helps to keep your business on track.

Aside from addressing issues, you partner can help you choose the right equipment to suit your needs, as well as a phone system which possesses the advanced features necessary to promote business success. You can work with your partner along the way to upgrade or expand your system as necessary.

Does your business handle troubleshooting and maintenance within your headquarters or do you partner with a provider? Share your experiences and tips with us on Facebook, Google+, Twitter, LinkedIn, and Pinterest.

3D Video Conference

From snail mail to email and telephones to video conferences – the way we communicate has come a long way. As our technology continues to advance, so does our modes of communication. Thanks to some scientists in Berlin, 3D video conferencing may soon become a reality.

Researchers at the Fraunhofer Institute for Telecommunications, Heinrich Hertz Institute, HHI have developed a new technology called “3D Human Body Reconstruction“. This elaborate camera and computer system can successfully produce a realistic 3D image of a person in a virtual world. Here’s how it works:

Stereo Cameras
A stereo camera has two lenses which see a person from slightly different angles, working much like our eyes do. The stereoscopic vision is used to estimate distances and create a 3D impression.

With the use of over 20 stereo cameras from different angles, each camera captures a part of the person and then the images are merged. Aside from the camera technology, algorithms were developed to extract depth information. With all this data, the computer creates a virtual model of the human which is then put into a virtual scene. The algorithms were designed to work quickly and efficiently so that the virtual image as realistic as possible, with natural movements and appearance.

Gestures
As far as gestures and movement go, the illusion has been perfected. While the formation of the person can take a few seconds, the system can transmit the 3D dynamic model of a person rapidly. The person is able to move freely in the dedicated capture area of the virtual reality scene. The next step is to allow the 3D image to interact with the virtual scene (ex. pick up a virtual object).

Also on the horizon is the virtual video conferencing solution, as well as implementing the technology into infotainment applications. Businesses could have a more enriched video conferencing experience, while viewers could partake in a more interactive media experience.

Motion Tracking
This specialized camera system could also be beneficial in the film industry. The costly motion tracking method for television and movies involves marking actors with small dots, tracking the movement of these points, and transferring the data to a computer. Next, a computer-generated artificial image is produced and perfected. Post processing the computer-generated image can be time-consuming and costly. With the specialized cameras system, the goal is to more easily represent the person and their movement with more details for a more natural look.

Again, as it is still in its infancy, the researchers are still working on improving their camera system and software, but are looking to make this available as soon as possible. Share your thoughts on this technology and how it can change or impact different industries with us on Facebook, Google+, Twitter, LinkedIn, and Pinterest.

Microsoft Skype For Business & Cloud PBX

For years, Microsoft has fought to find a role within the office telephony realm. Currently, the main contenders in office telephony are Cisco, Avaya, NEC, Mitel, and ShoreTel, with Ring Central, 3CX, Vonage, Ooma, and Grasshopper leading the online-only alternatives. Despite building a strong supporting role in most businesses, Microsoft is looking to make a larger impact with the introduction of Skype For Business Server and  Cloud PBX service.

Few large enterprises have switched to these Microsoft solutions. Some are taking the slow route, with others moving at a faster pace of adoption. Still, there are others who are hesitant to make the leap at all. Some improvements on Microsoft’s end are necessary, however, the lower cost is enticing to many.

A strong point for Cloud PBX is that it includes an option to Office 365 subscriptions. The Cloud PBX release coincided with Office 365 E5 option, which provides the Skype for Business client and the ability to make and receive domestic phone calls, as well as international dialing for an additional fee.

For those looking to house the server within the main office, but still allow remote access, the on-premise and cloud versions may work together in a hybrid environment.  Also, headsets can be connected to PCs or to Skype For Business compatible phones from different manufacturers. And now, both Skype for Business and Cloud PBX have a connector to existing PBX systems for those who want to use their existing phones.

Expanding Skype For Business
What is lacking in the Cloud PBX service is the auto-attendant feature, which allows for automated call routing. While it is not currently offered, its release is slated for later this year.

Microsoft is also working with Logitech and Polycom on Project Rigel. This project will expand the scope of the Surface Hub video conferencing system. A promise to extend public switched telephone network (PSTN) access beyond the U.S. is also in the works.

Microsoft is also working on its management tools, a common complaint about these services. The Office 365 Administration Center is getting new technology and upgrades to improve the management and monitoring system. Once these issues are addressed, it is likely that more companies will take another look at Microsoft’s office telephone solutions.

Lower Cost
Thanks to a lower cost than in recent years, many more are considering the switch. While the cost has come down significantly, they are still in the higher ballpark range for services. But overall, with a lower cost and an improved learning curve, Microsoft is headed in the right direction.

The Best Conference Phones For You

Including a conference room within your business office can be a valuable asset. To prospective and existing clients, your conference room can make a lasting impression. Whether they see it in person or through a video conference, you want to make sure your conference room is presentable and equipped with the best conferencing solutions.

Aside from eliminating reverberation and background noise as much as possible, you also want to choose the right conference phone to suit the room. Your needs may vary depending on the size of the room, the number of participants, and the calling features you desire.

Here are some tips on choosing the right conference phone for you.

Small Rooms
Small rooms usually accommodate 4-10 participants. In this instance, a conference phone with a microphone range of about 5 to 8 feet should suffice. All participants should be able to carry on a clear and audible conversation.

Popular options for small conference rooms include the Polycom SoundStation IP 5000, which boasts convenient features and compatibility, plus 7 foot microphone pickup, and the Snom MeetingPoint Conference phone, which supports up to 10 participants.

Medium Rooms
These are often the standard size conference rooms, which can accommodate 12 to 20 participants. For the best call quality, conference phones should have about 10 to 14 foot microphone range. Should you need to accommodate a few more participants, expansion microphones are usually available.

Both the Polycom SoundStation IP 7000 and the Yealink CP860 conference phones are suitable for standard size conference rooms and offer great audio quality for affordable prices.

Large Rooms
Suitable for 20 or more participants, large conference rooms may benefit more from full conferencing solutions. These will ensure the best audio and video quality for your conferences and meetings.

The Grandstream IPVideoTalk conferencing service supports up to 100 participants for audio or video conferences. The Grandstream GAC2500 and GVC3200 conference phones work with this platform and provide plug-and-play video conferencing and excellent features.
