If you have recently upgraded to a VoIP phone system, you will need compatible business phones that deliver quality features and functions. Initiate a Conference Call:
Assuming that you are already in a conversation and wish to bring a third party together in a 3-way conference:

  1. Press Conference button to bring up the conference dialing screen.
  2. Dial the third party number followed by SEND key.
  3. When the call is established to the third party, press the “ConfCall” soft key to initiate 3-way conference

Cancel a Conference Call:

  1. Press “Cancel” soft key in conference dialing screen to resume the two-way conversation.

Hold the Conference:

  1. Press Hold button to hold the conference call with all parties are on hold;
  2. Press “ReConf” soft key to resume conference call; or select the corresponding blinking LINE to speak with an individual party.

End The Conference:

  • The conference will be terminated for all three parties if the conference initiator hangs up or presses “EndCall” soft key.

Accessing Voicemail On the Intertel Axxess 550.8520 Phone

Your voice mailbox enables you to receive important messages when you are away from your desk or cannot answer calls for whatever reason. With the Intertel Axxess 550.8520 phone, accessing your mailbox and retrieving messages is made easy.

When you access your mailbox, the system may play one of the following messages:

  • Mailbox Almost Full or Full: If your mailbox is full, no new messages can be retrieved until you delete waiting or saved messages.
  • Message Count: The system tells you how many messages are waiting to be heard, if any, and how many are priority messages.
  • Remote Messaging: The system will indicate whether primary or alternate Remote Messaging is selected when the Remote Messaging feature is enabled. It will also alert you if a programming error has been detected and/or if it encountered busy system resources when attempting to place a Remote Messaging Call.

To access your mailbox:

  1. Dial the voice mail extension number (you hear the main menu).
  2. During or after the greeting, press * to identify yourself as a subscriber.
  3. Enter your mailbox number and your personal password (if programmed). Then press #.

Note: If you do not have a password, just press #. Setting a password prevents unauthorized access to your mailbox.

Tip: Generally speaking, pressing # during any voice mail operation will advance you to the next step. For example, when leaving a voice mail message for another voice mail user, you can press # to skip the person’s introductory message and proceed directly to the recording phase. Similarly, while listening to messages, you can press # to skip the system-generated voice prompts and proceed directly to the playback phase. You can also press * to cancel or return to the previous menu at any menu level.

To learn how to set the date and time on the Aastra 9116LP phone, follow these steps.

If you subscribe to the Caller ID service from your telephone company, the date and time are set automatically after you receive your first incoming call. If you do not subscribe, you must set the date and time manually.

To set the date and time:

  1. Press Options.
  2. Press UP (▲) or DOWN (▼) until the display indicates Set Time/Date.
  3. Press Save. Display shows time and date. Use UP (▲) and DOWN (▼) to adjust the flashing time and date and LEFT (◀) and RIGHT (▶) to move to the next field. To change the AM/PM indicator, adjust the time ahead by 12 hours.
  4. Press Save.

To resume the automatic date and time setting (if the date and time has been set manually), disconnect the power supply (or the line cord if the phone is PBX powered), then reconnect it. After your first incoming call, the date and time are automatically set if you subscribe to the Caller ID service from your telephone company.

The ShoreTel 230 IP phone makes an excellent addition to busy office environments. Some of its excellent features include three line appearances, eight function keys, four soft keys and a headset jack. One of the most convenient features is the conference call, which allows you to communicate and collaborate with two or more parties on a single call. You may conference up to six parties into a single call, depending on the permissions set by the System Administrator. Follow these steps to learn how to use the conference call feature on your ShoreTel 230 IP phone.

To conference a party into a connected call:

1.    Press the Conference button. The call is put on hold.

2.    Dial the extension of the party you would like to conference.

3.    Press the Confrn soft key to ring the party directly.

OR

Dial the number and press the Conslt soft key to speak with the recipient before ringing him or her into the conference call. After consultation, press the Yes soft key to complete the conference call, or press the Cancel soft key to return to the original two-party call.

4.    Repeat to add additional parties.

After a conference is established, you can use the Show soft key to display all conference parties. If you wish to disconnect a party, scroll to the party’s entry and press the Drop soft key.

Transferring Calls On The Cisco SPA504G IP Phone

The Cisco SPA504G IP phone is a part of the Cisco Small Business Pro Series, which is a line of business phones that provide versatile and convenient features, making them ideal for various environments. The Cisco SPA504G IP phone is not only cost-effective, but it also offers a rich user experience with wideband audio, application support, and encryption.

Follow along as we guide you through the steps to transfer calls on your Cisco phone.

You can perform two types of transfers with the Cisco SPA504G IP phone:

  • Attended – Call the person to whom you are transferring the call and speak to them before transferring the call.
  • Blind – Transfer the cal without speaking to the other party to whom you are transferring the call.

Attended Transfer
To perform an attended transfer:

1. During an active call, press xfer. The call is placed on hold and a new line is opened to dial the number.

2. Either:

  • Enter the number to which you want to transfer the call, then press dial or wait a few seconds.
  • Press dir and either choose a number from the personal directory or (if configured) select the Corporate Directory, then press dial.Note: If you hang up before the second call rings, the transfer fails and the first call is disconnected. If you misdial, use the delChar, clear, or cancel key to make your changes before the call is transferred.

3. Press xfer after the phone begins to ring, or at any time after the phone is answered.

Unattended (Blind) Transfer
To perform an unattended transfer:

1. During an active call, press the bXfer softkey

2. Enter the number to where you want to transfer the call. The call is transferred with no further action required on your part.

Transferring a Held Call to an Active Call
If you have one call on hold and one active call, you can transfer one of the calls to the other call, connecting the two callers. This is different from a conference call, because you no longer remain part of the call after the transfer.

With one active call and one or more calls on hold, press the xferLx softkey.

If you only have one call on hold, the call is transferred to the active party and you are disconnected.

If you have more than one call on hold, choose the held call you want to transfer by pressing the line button of the call on hold.

Holding Calls On The Avaya 9608 IP Phone

In a busy office, the Call Hold feature comes in very handy. Whether you need a moment to pull up customer information, confer with management, or are simply busy on another call, Call Hold allows you to prioritize your calls and consult with other parties accordingly.

The call hold feature makes it easy for users to work more efficiently. If you’re looking for a quality desk phone that offers Call Hold along with other convenient features and functions, choose the Avaya 9608 IP Phone.

With the Avaya 9608 IP phone, you can hold one or more calls.

  • The held call will still occupy the appearance button on which it was made or answered. A fast flashing lamp is used to indicate held calls.
  • The caller will hear music on hold. If your system does not have music on hold available, the caller will hear double beep tones every few seconds.
  • If you have more than one held call, or one held call and a connected call, pressing the Conference soft key will start a conference between yourself and the calls.

Calls that you have held will return to your phone (when idle) if they remain on hold for too long. The default return delay is 15 seconds. Your hold recall can be changed by the System Administrator. Returning calls ignore any forwarding or do not disturb settings.

Holding A Call

  1. To put your current call on hold, press the Hold soft key or the call’s appearance button.
  2. The held call will be indicated by its call appearance button with a fast-flashing green lamp. The phone displays “On-Hold” before the call information on the call’s application line.
  3. While held, the caller will hear music on hold. If your system does not have music on hold available, the caller will hear double beep tones every few seconds.
  4. You can scroll the display using the up and down cursor keys. The held call will appear with a icon. The button next to the call label will flash green.

Important – Holding Conference Calls
You can hold a conference call in the same way as holding a normal call. Holding the conference call does not affect the other conference parties who can continue talking. You will also still be listed as a member of the conference call in the conference details.

Note: This only applies to the conference calls hosted by your own telephone system. Holding your call to a conference hosted on another telephone system may cause that conference to hear your system’s music on hold.

Taking A Call Off Hold
Either of the following methods can be used to retrieve a call from hold. If you have a currently connected call, that call will be automatically put on hold.

  • Press the appearance button with the fast-flashing red lamp call appearance.
    OR
  • Scroll the display using the up and down cursor keys, the held call will appear with a  icon. Press the Connect soft key to take the call off hold.

Switching Between Calls
With a call on hold (fast-flashing appearance button) and another call connected (red call appearance button), you can switch between calls by press the appearance button of the held call. The current call is automatically put on hold and the previously held call is connected.

When you place a call on hold in order to make a transfer, the call is considered ‘on hold pending transfer‘ and is indicated by fast-flashing red and green appearance buttons. On phones with only a single appearance button (or icon), the phone displays “On-Hold-Xfer” before the call information on the call’s application line.

Transferring A Held Call
There are various call transfer scenarios to consider:

1. Transfer to a Held Call:
If you have multiple calls on hold and you want to transfer a connected call to one of the held calls:

  • Press the Transfer soft key and use the up and down cursor keys to select the desired call appearance. When you are satisfied, press Complete to transfer the call while the other held call(s) remain on hold.

2. Transfer to a New Call:
If you have calls on hold but you want to connect your current call with a new destination:

  • Press the Transfer soft key and enter the destination manually using the numerical keypad and press Complete. Alternatively, press Dir to select a destination from the directory or use the Redial option, if applicable.

3. Consult the Caller Before Transferring:
If you have a destination call connected but you wish to refer back to the originating call before completing the transfer:

  • Do NOT press Complete to transfer the destination call as in scenario #2. Select the originating call (‘on hold pending transfer’) by pressing its call appearance button. This will place the destination call ‘on hold pending transfer’ so that you can notify the originating caller. With the originating call connected, you can now press Complete to connect the two calls. Held calls that are not pending transfer will not be affected. Moreover, it is not possible to have more than one call ‘on hold pending transfer.’Note: It is also possible to transfer a held call by starting a conference and then dropping yourself from that conference. However, if you are the only internal user in the conference, depending on your telephone system’s configuration, dropping yourself might end the conference.

Speed dialing can help you save time and boost productivity in the office. Rather than take the time to dial the same phone numbers over again, you can save commonly dialed phone numbers into the system as shorter speed dial codes. The Comdial DX-80 phone offers this convenient feature, allowing up to 200 System Speed Dial codes. To learn how to program and use the System Speed Dials on the Comdial DX-80, follow these steps.

Programming System Speed Dials

  1. Press the FEATURE button followed by # *.
  2. Enter the Admin password – # # # # # # # # [pound (#) eight (8) times].
  3. Press Show.
  4. Dial 04091.
  5. Press Save.
  6. Enter the Speed Dial Number you are going to use (500 through 699).
  7. Press Show.
  8. Press Chg.
  9. Enter in the phone number you want as the speed dial number.
  10. Press Save.
  11. If you would like to enter in additional speed dial numbers, press Next and repeat above – beginning with step 6.

If you are done – press the ‘On/Off‘ button to exit out of programming.

Using the System Speed Dials

  • From any phone – enter the speed dial number (500-699) that you wish to call.

Conference Calls On The Vodavi Starplus STS 3515 Phone

Conference calling is an indispensable feature for businesses as it allows employees to easily communicate and collaborate with fellow employees and clients in remote locations. The Vodavi Starplus STS 3515 phone offers a smart design and convenient features, including conferencing. With the Vodavi Starplus STS 3515 phone, you may conduct conference calls with up to eight other parties. Follow along as we break down the steps on how to use the conference feature on the Vodavi Starplus STS phone.

Please note that only stations that have conference enabled can institute a conference.

  • Add-On Conference – Up to eight internal parties can engage in a conference, or seven internal parties with one external party. A maximum of five 8-party conference (five external parties maximum) can be established.
  • Multi-Line Conference – One internal station can engage in a conference with up to four outside parties.
    Note: A maximum of eight parties can be included in a conference.

To establish a Conference:

  1. Lift the handset.
  2. Select an intercom station or dial desired outside party.
  3. When the called party answers, press the CONF button.
  4. Add the next conference party by selecting another outside line or intercom station, or by using the Soft Key’s ADD MEM option.
  5. If the next conference party is an outside line and a busy or wrong number is encountered, press one of the conference parties on hold – this drops the busy or wrong number party. Press the CONF button again and repeat step 4.
  6. When the last party answers, press the CONF button twice (all parties will be connected).

To exit a Conference (controller only):
For a Single-line conference:

  1. Press the ON/OFF button to ON.
  2. Press the MUTE button, then replace the handset to monitor the conference.

For a Multi-line conference:

  1. Press the HOLD button to place outside parties on hold. The Hold Timer starts. If one of the two parties is internal, that party is dropped.
  2. Either press CONF and hang up or press the ON/OFF button or use the Soft Key’s EXIT option to leave the other conference parties still connected in an unsupervised conference. The CONF button flashes and the timer starts. There is a warning tone before the other parties are dropped.

To re-enter a Conference:
When the controller re-enters the conference, the disconnect timer is reset.

  1. Lift the handset to re-enter a monitored conference.
  2. To re-enter a conference placed on hold, repeat steps for establishing a conference.
  3. To re-enter an unsupervised conference, lift the handset and press the flashing CONF button or use the Soft Key’s RE-ENTER option. The CONF button will light steady and a confirmation tone will sound.

To terminate a Conference, the conference initiator who is actively in the conference must:

  • Replace the handset or press the ON/OFF button to OFF.

To terminate an Unsupervised Conference:

  • Press the flashing CONF button or use the Soft Key’s END option while on-hook, all parties will be dropped.

To terminate a party during a Conference Call:

  1. Press the line button of the party you wish to drop.
  2. Replace the handset or press the ON/OFF button.
  3. Lift the handset or press the ON/OFF button.
  4. Press the flashing CONF button.

Single Line Telephone
To set up a Conference with one external and one other internal station:

  1. Place an outside call.
  2. Briefly depress and release the hookswitch to put the call on hold.
  3. Dial the number of the internal station you wish to add.
  4. When that station answers, briefly depress and release the hookswitch again. All three parties will be connected.

To set up a Conference with Personal Park:

  1. While connected to an outside line, depress the hookswitch momentarily. The intercom dial tone will sound.
  2. Dial 438. The first call will be placed in Personal Park.
  3. Dial the desired number for the second call.
  4. Depress the hookswitch momentarily. The Intercom dial tone will sound.
  5. Dial the code for SLT Conference Park (664). All three parties will be conference.
  6. Hang up to terminate the conference.

Executone IDS M18 Phone: Holding & Retrieving Calls

If you’re looking for an affordable and straightforward business phone for your office, look no further than the Executone IDS M18 phone. With the Executone IDS M18 phone, any call can be placed on Hold at an extension. If an outside line call is placed on Hold, anyone with access to that outside line can retrieve the call from Hold. Note: Only outside line calls can be placed on Exclusive Hold.

Note: If the HOLD key LED is blinking someone has left you a message.

Place a Call on Hold

  1. While on a call, press the HOLD key. If the call is an outside line call, the OUTSIDE LINE key LED blinks rapidly. Press the HOLD key only once.The LEDs corresponding to the outside line on other telephones blink slowly. Other users are able to retrieve the call on Hold.

Place a Call on Exclusive Hold

  1. While on an outside line call, press the HOLD key twice. The OUTSIDE LINE key LED blinks slowly.The LEDs corresponding to the outside line on other telephones light steadily. Other users are NOT able to retrieve the call on Exclusive Hold.

Retrieve an Outside Line Call on Hold or Exclusive Hold

  1. Lift the handset. Internal dial tone is heard.
  2. Press the OUTSIDE LINE key that the call is holding on. The OUTSIDE LINE key LED stops blinking. The call is retrieved.

Retrieve an Internal Call on Hold

  1. Press the HOLD key or the blinking ICM key. The call is retrieved.

How To Speed Call On The Nortel M3904 Phone

The Nortel M3904 phone is affordable, reliable, user-friendly, and boasts a handful of convenient features. Of these special features, which enable users to better navigate the phone system and boost productivity, is Speed Call.

Speed Call on the Nortel M3904 phone allows you to automatically dial frequently called telephone numbers by entering a one, two, or three digit code. See your network administrator to determine the capacity of your Speed Call list. A telephone designated as a Speed Call Controller can program or edit the Speed Call list. This feature must be enabled by your network administrator.

To store or change a Speed Call number:

  1. Press the Speed Call Controller Key (SpcCtlr). The triangular icon flashes, indicating programming mode.
  2. The phone prompts you to dial a one, two, or three digit code and telephone number.
    Note: Dial the access code (if required) followed by the internal, external, or long-distance telephone number).
  3. Press the Speed Call Controller Key (SpcCtlr) again to save the code and number. The flashing icon turns off.

To make a Speed Call:

  1. Lift the handset.
  2. Press the Speed Call Controller key (SpcCtlr) or the Speed Call User key (SpcUser).
  3. Dial the Speed Call Code.

Make a System Speed Call
System Speed Call allows you to make a call by dialing Speed Call codes which may override your telephone’s calls of service restrictions. The System Speed Call feature is set up on the system by your network administrator. It is a speed dial number that is common to many users, therefore it is set up on the system not on your individual telephone.

To make a System Speed Call:

  1. Lift the handset.
  2. Press the System Speed Call Controller key (SScCtlr) or the System Speed Caller User key (SScUser). The number is automatically dialed.
