The Power Of Telephone Calls
Let’s take a look at why most people dislike phone calls. When you dial someone’s number, even if the call is previously scheduled, there is an uncertainty whether the party will answer or not. And with each unanswered ring, you can feel the anxiety build. In addition, phone calls can be inefficient. Just think of the many times you’ve inadvertently began a game of phone tag.
With cell phones, there is also the inevitable lag, which can result in speaking over each other and having to repeat yourself. And then there are those who do not grasp the concept of phone etiquette (ex. eating over the phone, carrying on conversations in inappropriate places).
While these reasons are sufficient to avoid phone calls, the root of our apprehension can boil down to not wanting to bother people, but mostly, our fear of rejection. Because we don’t enjoy hearing “No” we will tend to avoid situations with the likeliness of that outcome.
But in the same vein, these flaws are what make the telephone so great. Email and text are quick and easy, but there is room for misinterpretation. Video conferencing is like a phone call, but adds the element of worrying about your appearance. Of these modes of communication, nothing beats the telephone.
Think about it – Making a phone call puts you in a relatively uncomfortable situation, but it also forces you to endure it and find a way to get out. This process shows that you are invested because you made the effort and you’ve prepared. You should not worry about bothering the other person because your conviction will convey that your message matters and is not a waste of time. With each phone call, you build character and grit, which are traits that can help you succeed.
The next time you avoid a phone call by communicating via text or email, ask yourself why. Put your hesitations and fears aside and make the call.

The Growth Of Video Conferencing
Changing Communication
Email and telecommunications are highly coveted forms of business communications in most offices. However, conference rooms are now incorporating more video solutions to enhance meetings. Aside from increasing productivity, video conferencing allows businesses to build stronger employee and customer relationships.
Adoption
In the beginning, cost was a major drawback for video conferencing solutions. Because prices were often too high (especially for small businesses), deployment was low. Luckily, technology improved and more cost-effective solutions were made available. The decreasing price of network bandwidth and emergence of smarter video solutions spurred widespread adoption.
Video conferencing applications are also being used in other industries including healthcare and education. Health care organizations are using video conferencing to extend their services, while educational institutes are providing tutorial and training services via video conferencing solutions.
Video-as-a-Service
From hardware and equipment to web-based solutions to cloud-based solutions, video conferencing is evolving. The room-based video conferencing model will remain a lasting staple, however, cloud-based solutions are becoming increasingly popular.
Over time, conference rooms will become more complicated with various solutions and services. Because of this, Video-as-a-Service (VaaS) will be a more welcome solution as it will avoid the clutter and provide easy deployment.
Video Platform as a Service (Video PaaS) will be valuable in other industries including tele-health, media and entertainment, education, and banking and finance industry. Unfortunately, drawbacks lie in the concerns for data security, quality, and a lack of a proper business case for real-time communications.
Mergers & Acquisitions
In the wake of connected workplaces, conference meetings are the go-to when it comes to quick decisions without the hassles and costs of travel. In order to break into different industries, leading video conference manufacturers are hard at work on expansion plans via mergers and acquisitions.
Does your business employ video conferencing solutions? What are your predictions on the future of video conferencing? Share with us on Facebook, Google+, Twitter, LinkedIn, and Pinterest.

How VoIP Can Improve Collaboration
Although collaboration may be difficult to articulate, VoIP is not. And because VoIP is easy and clear cut, it can help to lead the way into more collaboration. Because telephony is no longer a primary mode for communication, it may be hard to grasp how VoIP can facilitate collaboration. Here are a few ways that VoIP influences employee collaboration.
Voice
VoIP offers more than just telephony. It enables other forms of voice, which is critical for getting a wider range of employees to use modern collaboration solutions.
Real Time Communication
When you’re up against a deadline and need an answer, response, or approval immediately, real time communication is the only way to get it done. Although messaging applications are growing in popularity, they are still not the best solution for real time communications. Until these applications improve and become the norm, VoIP is the best way to get real time communication done.
Flexibility
Because VoIP is web-based, it provides the same flexibility as other collaboration applications. But unlike legacy, VoIP provides employees accessibility to the company phone system and other modes of voice from any broadband connection, thus making it an ideal solution to drive collaboration.
Integration
Legacy doesn’t provide much room, if any, for integration, which is the beauty of VoIP. VoIP offers a wide range of support for other applications, which enhances the collaboration experience.
Affordability
Paying for workplace applications is not usually a concern for end users, however, anything that’s free or near-free has an allure. There are web-based VoIP applications that provide voice for little to no cost. Because of this, VoIP can be an easy and cost-effective way to encourage collaboration, within and outside of the workplace.
What collaboration solutions do you use within your office? Is a VoIP phone system one of them? Share your experiences with us on Facebook, Google+, Twitter, LinkedIn, and Pinterest.

Improve Your Email Communications
While other modes of communication are more effective, they are not always the most practical solution. Overall, emails are a quick and less intrusive, thus their frequent use. Since email isn’t going anywhere, we must address the potential communication risks and discover ways to avoid making these mistakes.
Here are some of the most common email communication problems we can encounter.
- Lost In Translation
When we send messages via email, the recipient is presented with text only. Without viewing body language or hearing tone and inflections, the message can get misinterpreted. Conveying sarcasm, excitement, or other emotions can be challenging through email.
- Filled With Errors
Because emails are so convenient, we are often multitasking when drafting them. Whether on our computers, tablets, or smartphones, we are prone to typos and errors, especially if we are not playing close attention to detail. This can result in unprofessional and misunderstood messages.
- Delayed Decisions
Email allows us to read and respond to them on our own terms, which is not always in a timely fashion. While your message may pop up immediately, the recipient may not address it as quickly as you may like. This can result in delayed decisions or answers.
- Lost Messages
On occasion, emails can get lost (and we may never know where they go). When this happens, depending on the importance of the email, the consequences can be dire.
The chance that you have experienced one or all of these things at some point in your career is high. With that being said, we must improve our communication skills to excel in the professional landscape.
Here are some tips to enhance your email communication skills.
- Effective Subject Line
If you want your emails to be opened quickly, a strategic, well-written subject line is key. Writing the subject line in a call-to-action format might be the best approach. For example, if your email pertains to the Johnson Project, instead of simply putting “Johnson Project” you can use something like “Approve the Johnson Project by 3pm.”
- Enable Prompts
Email platforms have an option to prompt a review before an email is sent. Make sure this option is enabled because it prevents you from prematurely sending an email and forces you to review your message before actually sending it. This minor step can save you lots of trouble in the long run.
- Get To The Point
Your time is precious and so is your recipient’s so keep your emails brief and straight to the point. If you have a lot of information to purvey, try starting with a quick introduction and use bullet points for an easier scan.
- No Confidential Info
Confidential information has no place in email, even if you think it is just between you and your recipient. If your email gets hacked or if it ends up in the wrong hands somehow, you can face serious consequences.
- Never Email Angry
Emotions are a dangerous thing. And while an angry phone call can be bad, an angry email is worse. Once you hit send, there is record of what you said. It can be shared, printed, saved, and used against you. If you feel the urge to send an emotionally charged email, take a breath, get up from your desk and take a short walk around the office or outside. This quick break will hopefully calm your nerves and force you to reevaluate your actions.
- Maximize Your Signature
Your signature can be a powerful thing. You want people to be able to contact you, so it is wise to include all of your contact information, your title and company name, plus any social media and websites. Not only does this provide your recipient with the many different avenues to connect with you, but you are also showing confidence in yourself and your company.
